Before signing up
Yes, the EmailMerge365 mail merge wizard works with New Outlook without any restrictions.
You can send 10 emails per mail merge. No credit card is required. All you need is an active Microsoft 365 Business subscription (formerly Office 365 Business Premium). You can sign up for a free trial at Sign Up - EmailMerge365.

EmailMerge365 is an extension for Microsoft 365, and emails sent through it use a Microsoft 365 Business account.
EmailMerge 365 does not support:

- Gmail
- IMAP or POP3 accounts (MailMerge365 integrates tightly with Microsoft 365 Business accounts and cannot send emails through IMAP or POP3 connections)
- Outlook for iPhone, iPad, or Android

No, EmailMerge365 processes your data locally within your Outlook environment.
This should not be the case in most situations, but please consider the following:
EmailMerge365's mail merge process works by sending emails through your existing Office 365 account, so the standard Office 365 and your Internet Service Provider (ISP) limitations apply. The mail merge wizard doesn't introduce any additional risk of being flagged for spam beyond what's inherent in your Office 365 account.
However, it's important to note that sending large volumes of emails, even with personalized information, can potentially trigger spam filters depending on your content, sending patterns, and recipient engagement. To minimize this risk:
- Ensure your mailing list's data source consists of recipients who have opted in to receive your communications.
- Avoid using overly promotional language or known spam trigger words.
- Gradually increase your sending volume over time rather than suddenly sending large batches.
- Monitor your email engagement metrics and adjust your strategy accordingly.
Always adhere to email best practices and your organization's policies when using EmailMerge365. If you have specific concerns about your email-sending limits or practices, we recommend consulting with your IT department or Office 365 administrator.

Getting Started
The add-in will be installed using Microsoft AppSource.
Free Plan:
- Register for the free plan.
- Once registered, follow the instructions on installing EmailMerge365 from Microsoft AppSource.
- In Microsoft AppSource, click Get it Now to install the add-in in your Outlook account.
Paid Plan:
- Complete your purchase.
- You will be directed to a page with installation instructions from Microsoft AppSource.
- In Microsoft AppSource, click Get it Now to install the add-in in your Outlook account.

EmailMerge365 will work on all browsers that support the Outlook on the Web. This includes Microsoft Edge, Google Chrome, Opera, Safari, and Mozilla Firefox.
After creating your mail merge documents, you can send them to different email addresses using EmailMerge365:
- On the Send tab, select the Send option under Send or Save to Draft.
- Choose when you want to send emails: Now for immediate sending or Later if you want to schedule it.
- Decide how emails will be sent: Send all emails at once or set a specific number of emails to be sent at regular intervals.
- Once you've configured these settings, click the blue Send Merge button at the bottom of the panel to initiate the sending process.

You can create mail merge documents with personalized content in Microsoft Outlook 365, Outlook 2021, Outlook 2019 and Outlook 2016.

EmailMerge365 offers a send later feature. You can set the date and time for your mail merge campaign to be sent on the Send tab.
While creating emails with personalized information using EmailMerge365 can help make them more engaging, they can still be at risk of being marked as spam. To minimize this risk, follow these practices:
Technical: Use EmailMerge365 with your Microsoft 365 account, which generally ensures good technical settings.
List Quality:
- Send to recipients who expect and value your emails.
- If contacting recipients after a long time, briefly explain who you are.
- Avoid cold emailing or purchased lists for your data source, as this can violate Microsoft's Service Agreement.
Content Best Practices:
- Balance text and images, avoiding image-heavy emails.
- Minimize promotional language and analyze content with tools like Mailshake.
- Avoid ALL CAPS, excessive punctuation (e.g., !!!), and unnecessary attachments. Keep images small and put most text in the body of the email.
By following these guidelines, you can significantly improve your chances of reaching recipients' inboxes rather than spam folders.
To save your current setup as a template for future use:
- At the bottom of the Send tab, you'll see a Save for next use section.
- Check the Template box to indicate you want to save the template.
- Enter a name for your template in the Name field.
- Click the Send Merge button, which will not only send your current campaign but also save your settings as a template with the name you provided.
In the Send tab, look for the How emails will be sent section.
- Instead of choosing Send all emails at once, select the second option which allows you to specify a sending rate.
- You'll see input fields where you can set:
a. The number of emails to send in each batch
b. The time interval between batches - Adjust these numbers to match your ISP's limitations. For instance, if your ISP allows 100 emails per hour, you might set it to 10 Email(s) every 6 minutes.
- Once you've set your desired throttling rate, proceed with the rest of your sending options and click Send Merge when ready.
This feature allows you to pace your email sending to avoid triggering any ISP limits or spam filters that might be activated by sending large volumes of emails simultaneously.
To ensure that you don't create multiple emails for the same addresses, duplicate contacts are hidden and not included by default. This is controlled by the Hide Duplicate Contacts checkbox on the recipients tab.
Using the Portal
EmailMerge365 Portal is a web-based management platform that allows you to track and analyze your email merge campaigns sent through Microsoft Outlook using the EmailMerge365 add-in.
With the portal, you can:
- View all your sent merges
- Track email opens and link clicks
- Analyze engagement metrics
- Export recipient data
- Manage your tracking plans
You can access the portal without a tracking plan to view your subscription information. However, to use email tracking features (opens, clicks, analytics), you need to purchase and activate a tracking plan from EmailMerge365 Pricing.
You can access the portal by:
- Visiting the portal URL provided by your administrator or my.emailmerge365.com
- Logging in with your Microsoft 365 credentials.
To view your merges:
- Click on Merges in the navigation menu
- Select Recent Merges
- You'll see a list of all your sent merges with key metrics
- Click on any merge to view detailed analytics
On the Merge Details page, use the filter dropdown to view specific recipient groups:
- All recipients: Everyone in the merge
- Opened Email: Only those who opened
- Not Opened Email: Those who haven't opened
- Clicked: Recipients who clicked any link
- Not Clicked: Those who didn't click
- Specific links: Filter by individual link clicks
Yes! To export data:
- Go to the Merge Details page
- Select the filter you want to apply
- Click the "Export CSV" button
- The file will download with recipient details and their engagement status
Exported files include email addresses, display names, opened status, and clicked status.
Tracking Features
To enable tracking:
- Open Microsoft Outlook
- Launch the Email Merge 365 add-in
- Set up your merge (recipients, template, etc.)
- Check the "Track Open and Clicks" checkbox
- Send your merge
Your merge will now be tracked, and data will appear in the portal within minutes.
The portal provides comprehensive tracking data:
- Email Opens: Who opened, when, and how many times
- Link Clicks: Which links were clicked and by whom
- Open Rate: Percentage of recipients who opened
- Click Rate: Percentage who clicked any link
- Date/Time Sent: When was the merge was sent
Our tracking system provides highly accurate data with some important notes:
- Opens: Very accurate, but some email clients may block tracking pixels
- Clicks: Extremely accurate as they're based on actual link interactions
- Real-time: Data typically appears within 1-2 minutes of the event
Some corporate email systems or privacy-focused email clients may prevent open tracking.
Yes! The portal tracks each link in your email separately. You can:
- View total clicks per link
- See which recipients clicked which links
- Filter recipients by specific link clicks
- Compare performance across different links
- Export data for recipients who clicked specific links
Tracking data will be retained for as long as your account remains active. If you cancel your subscription, all tracking data will be permanently deleted within 6 months.
Troubleshooting
- In your preferred browser, go to https://aka.ms/olksideload. You may be asked to login to Outlook.
- In the Add-Ins for Outlook dialog box, select My add-ins.
- Locate EmailMerge365 in the Custom Add-ins section at the bottom of the dialog box.
- In the bottom right, select the 3 dots and click Remove.
Verify that EmailMerge365 is correctly installed. If you encounter any issues, please contact us at support@standss.com.
If your merge isn't showing up, check:
- Did you check "Track this merge" when sending?
- Is your tracking plan active?
- Have you exceeded your plan limits?
- Has it been at least 5 minutes since sending?
- Are you logged in with the correct account?
If the issue persists, contact support with your merge details.
If opens aren't being tracked:
- Some recipients may use email clients that block tracking pixels
- Corporate email systems may strip tracking images
- Recipients with "Load Images" disabled won't register as opens
- Privacy-focused email clients block tracking by default
However, click tracking will still work as it's based on actual link clicks.
Try these steps:
- Refresh your browser (Ctrl+F5 or Cmd+Shift+R)
- Clear your browser cache
- Try a different browser
- Check your internet connection
- Disable browser extensions temporarily
